Write exactly what each copy says: custom text and rules

Until now a copy showed either the original event's details or just "Busy". Now you can decide what each copy says, for the title, the description, the location, privacy and free or busy.

What you get

  • Custom text, on every plan. Pick Custom on the title, description or location and write your own text, dropping in pieces of the original: its title, description, location or the calendar name. A sports or school feed that puts the address in the description can now send it to the copy's location.
  • Rules, on Plus and above. Add "if this, then that, otherwise" choices to any of the five fields. Checks look at the event's title, description, location, meeting link, guests, guest count, privacy, free or busy, and which of your accounts or calendars it comes from. Rules run top to bottom and the first one that matches wins.
  • More details to use, on Plus and above. The meeting link, the guest count, the guest list and the organizer. The guest list and organizer can go in the description.
  • A live preview. The rules panel shows an example event and the result for it. Pick any of the calendar's next five events to test your rules, or use a built-in example if it has none. Nothing is saved until you save the sync.

What it means for you

  • Show the meeting link and keep the rest private, label each copy with the calendar it came from, or mark only the big meetings as busy, all inside one sync.
  • If a result is longer than the calendar allows, that one event is not copied and the sync's page tells you which field to fix. Your other events keep syncing.
  • If your plan ever drops below Plus, your rules pause and are kept. The copies fall back to the most private choice (title "Busy", description and location left out) until you upgrade again.

Good to know

  • The meeting link is empty for events from CalDAV and iCal calendars, and the organizer is empty on Outlook unless you are the organizer.
  • A different setting for each destination calendar is still Calendar exceptions on Pro and Team.

Open a sync, choose a field's Custom option and look at the preview.
